Identity separation

When a survey verifies your work email, that email is stored in a separate, encrypted table. It is never visible to facilitators alongside your responses. Facilitators see themes and signals, not your name attached to an answer.

Anonymization

Open-text responses are scrubbed of email addresses and phone numbers before any AI summarization. All quotes published in workshop reports are anonymized — names, identifying details, and personal references are removed or paraphrased.

AI and your responses

When a survey has AI-assisted analysis enabled, anonymized responses may be summarized using Google Gemini through the Lovable AI Gateway under standard GDPR data-processing agreements. Email addresses and phone numbers are removed from open-text responses before they are sent to the model. Only aggregated themes and anonymized quotes are stored in the resulting insight bundle; the model provider does not retain prompts for training, and your responses are never used to train AI models. AI analysis is configurable per survey — when it is turned off for a survey, no responses from that survey are sent to any AI provider.

GDPR

UPWARD acts as the data processor on behalf of your organization. Response data is stored in the EU (Ireland). Data can be deleted on request. Retention windows are configurable per engagement.
